This Privacy Policy explains how ASOCIACION JUANITA, a community association with its charter hall at 6864 W Bamburgh Way, West Valley City - 84128-7234, United States (US), collects, uses, keeps and protects the information that neighbors share with us. The association maintains this website through its developer identity Juanita Assoc and remains the keeper of the minute book to which this policy applies. We have written this document in plain language so that any member of a household on our roll can understand it without legal training.
ASOCIACION JUANITA exists to look after a neighborhood, and that purpose shapes everything we do with personal information. When a household signs onto our roll, that household trusts us with names, contact details and sometimes sensitive circumstances. We treat that trust as the foundation of our work rather than as a routine administrative matter. Our guiding rule is simple: we collect the least information that allows us to serve a neighbor, we keep it only as long as we need it, and we never sell it or trade it for any commercial benefit whatsoever.
This policy applies to information gathered through this website, through our enrollment forms, through the contact form on our contact page, and through the ordinary in person work of our hall desk at 6864 W Bamburgh Way. It does not apply to independent organizations that we might mention or link to, because those organizations are governed by their own privacy practices. We encourage every neighbor to read this document and to reach out with any question, however small, before deciding whether to share information with us.
We collect two broad kinds of information: information a neighbor chooses to give us directly, and limited technical information that our website records automatically as part of ordinary operation.
When you complete our membership enrollment form, we may ask for the names of the people who live at your address, the languages spoken at home, the best way to reach the household, and any accessibility need that should guide how we send notices and arrange our hall. When you complete the contact form on this website, we receive the name, email address, subject and message that you type. When you call or email our desk, we receive whatever you choose to tell us, which may include details about a circumstance that a household is facing.
Like most websites, ours may record basic technical information such as the type of browser used, the general region from which a page was requested, and the date and time of a visit. This information is aggregated and is used only to keep the site working and to understand which pages are helpful. We do not use it to identify any individual neighbor, and we do not attempt to combine it with the information you give us directly.
We use the information we collect for a short and specific list of purposes. We use it to enroll a household on our roll and to maintain the call board that our meetings depend upon. We use it to send the agenda sheet before each meeting and to deliver notices in a form that a household can actually read. We use it to arrange the services a neighbor has requested, whether that means a ride, a visit, a referral or a place at an event. We use it to keep the minutes of our meetings accurate, recording who was present and what was decided. We use it to answer the messages that arrive at our desk and to follow up on the matters those messages raise. Finally, we use it to protect the safety of our volunteers and the households they serve, and to comply with any obligation that the law places upon us.
We do not use the information we gather for advertising, for profiling, for automated decision making, or for any purpose unrelated to the community mission of ASOCIACION JUANITA.
Where the law requires us to identify a lawful basis for handling personal information, we rely on the following grounds. We rely on consent when a neighbor chooses to enroll, to send a message, or to take part in a service, and that consent may be withdrawn at any time by telling our desk. We rely on the performance of an agreed service when we carry out something a household has asked us to do, such as arranging a visit or a ride. We rely on our legitimate interest in running a community association when we maintain our minute book, organize events, and keep the ordinary records that make a neighborhood function. We rely on legal obligation where a law or a court requires us to keep or to disclose something, which in the routine work of our association is rare.
This website is deliberately simple. We do not operate an advertising network, we do not run tracking pixels, and we do not sell access to our visitors to anyone. Any cookie or similar storage that our site uses, if it uses one at all, exists solely to make the basic features of the site work, such as remembering that you opened a menu or that you expanded a question. We do not use cookies to build a profile of your browsing across other websites, and we do not permit third parties to place advertising cookies through our pages. You can set your browser to refuse cookies or to alert you when one is stored, and the informational pages of this site will continue to function for you.
The contact form on this website is designed to open your own email application so that your message travels to our desk directly from your own account. When you press the send control, the information you entered is placed into an email addressed to info@juanitaassoc.mom, and it is handled by your email provider and ours in the ordinary way that email works. We do not route the contents of that message through a marketing service, and we do not store it in a commercial database. The membership enrollment process works differently and is usually completed in person or through a form that a volunteer helps a neighbor complete, so that the household can ask questions as it goes.
We share personal information only in the narrow situations that our work genuinely requires. We may share a household details with a volunteer who has accepted the specific task, such as a driver who has agreed to carry a resident to a clinic, because that volunteer cannot do the task without knowing where to go. We may share information with a partner organization when a household has asked us to make a referral and has agreed to the introduction. We may disclose information where the law compels it, where a court orders it, or where it is necessary to prevent serious harm to a person. Beyond these narrow situations, we do not share personal information with anyone, and we never sell it, rent it, or exchange it for money or services of any kind.
Family Support Referrals are one of the six services that ASOCIACION JUANITA offers, and they deserve a clear explanation in this policy. When a household comes to our desk with a need, a volunteer may connect that household with an outside organization, whether a food pantry, a counseling service, an emergency assistance fund, or a legal aid clinic. We share only what the household consents to share and only what the partner organization needs in order to help. Once a partner organization receives information, its own privacy practices govern how it treats that information, and we encourage every household to ask the partner for its privacy notice. We keep a private record of each referral separate from the shared minute book so that sensitive circumstances are not read aloud at a public meeting.
Different records are kept for different lengths of time according to their purpose. Enrollment records are kept for as long as a household remains on our roll and for a reasonable period afterwards so that we can honor a request to rejoin without starting over. Sensitive referral records are kept only as long as needed to confirm that a connection held and are then securely destroyed. The minute book itself, which records decisions, votes and the ordinary business of the association, is preserved as a permanent historical record of our neighborhood, but we are careful to keep private circumstances out of it. When a household leaves our roll, we remove its contact details and stop sending notices, while retaining only the anonymous record that a household once participated.
We protect information with the care that a small, volunteer run association can reasonably provide. Paper records are kept in a locked cabinet at the hall, and access is limited to the officers who need them. Electronic records are kept in accounts protected by strong passwords, and volunteers are asked to use reputable devices and to avoid leaving records on shared equipment. We train the volunteers who handle personal information to understand this policy and to ask a senior officer whenever they are unsure. No method of protection is perfect, and we do not claim otherwise, but we take seriously the duty to guard the trust that neighbors place in us, and we will notify affected households promptly if we ever become aware of a breach that puts their information at risk.
You have real rights over the information we hold about you, and we will honor them without requiring you to explain yourself. You may ask to see the information that we keep about your household. You may ask us to correct anything that is wrong. You may ask us to delete information that we no longer need, and in most cases we will do so, though we may keep the anonymous record of participation that the minute book requires. You may ask us to stop sending you notices, and you may withdraw the consent on which a service depends at any time. You may ask for a copy of your information in a portable form. To exercise any of these rights, contact our desk by email at info@juanitaassoc.mom or by phone at +18304155159, and we will respond within a reasonable period. If you are not satisfied with our response, you may complain to the data protection authority that applies to your region.
Youth Program Support is one of our most valued services, and it places a special duty on us to protect the privacy of children. We collect information about a young person only when a parent or guardian provides it and only for the purpose of enrolling that young person in a program, arranging transportation, or recording a report that the young people themselves wish to make at our annual youth meeting. We do not knowingly collect personal information from a child through this website, and we do not direct any part of this site at children. If you believe that a child has provided information to us without proper consent, please contact our desk immediately and we will remove it.
This website may occasionally link to an outside organization that offers a service relevant to our neighbors. When you follow such a link, you leave our site and arrive at a site governed by different privacy practices. We choose our links with care, but we cannot control what an outside organization does with information, and we encourage you to read the privacy notice of any site you visit. We do not embed advertising, we do not embed third party tracking, and we do not permit an outside party to observe your activity on our pages for a commercial purpose.
ASOCIACION JUANITA operates in the United States, and our records are kept in the United States. If you contact us from another country, you understand that your information will be handled under the laws of the United States and under this policy. Where the law of your region grants you additional protections, we will endeavor to honor the spirit of those protections for any neighbor who asks. We do not knowingly transfer personal information across borders except as is incidental to the ordinary operation of email and of the services we use to keep records.
We may update this policy from time to time as our association evolves or as the law requires. When we make a material change, we will post the revised policy on this page, update the effective date at the top, and, where the change affects our neighbors directly, mention it at a meeting and include a note on the agenda sheet. We will never apply a new policy retroactively to information that was gathered under an older one without telling the affected households. We encourage you to review this page periodically, and we will always keep the current version available here.
If you have any question, concern or request about privacy, please reach the hall desk of ASOCIACION JUANITA. Our postal address is 6864 W Bamburgh Way, West Valley City - 84128-7234, United States (US). Our email address is info@juanitaassoc.mom and our telephone number is +18304155159. A volunteer reads every message and, where a matter requires a decision, it is brought to the next meeting and recorded in the minutes so that the outcome is transparent to the whole roll.
Neighbors who live in certain regions may have additional rights under local law, and we describe those rights here in general terms. Residents of jurisdictions with comprehensive data protection laws may have the right to know the categories of information we collect, the purposes for which we use it, and the categories of third parties with whom we share it, as well as the rights to access, correct, delete and port their information and to opt out of certain uses. We do not sell personal information and we do not use it for targeted advertising, so the opt out rights that concern sale and targeted advertising have nothing to act upon in our case. Residents of regions that grant a right to restrict processing or to object to it may contact our desk to exercise that right, and we will respond in the manner and within the time that local law requires. Nothing in this section limits the rights that this policy grants to every neighbor regardless of region.
For the purpose of this policy, the association means ASOCIACION JUANITA, the community association that maintains this website and keeps the minute book. Personal information means any information that relates to an identified or identifiable person, such as a name, an email address, a telephone number or an address. Processing means any operation performed on personal information, including collecting it, storing it, using it, sharing it and deleting it. A household means the group of people who live at one address and who have chosen to join our roll. The minute book means the permanent written record of the decisions and proceedings of our meetings. A partner organization means an outside body to which we introduce a household at that household request. A volunteer means a neighbor who gives time to the association without payment.
We have written this policy in order to earn and to keep the confidence of every household on our roll, and we welcome any question that helps us do that work better.
